Top 7 Tips for Keeping Your Payroll Information Organized - daydaily

Written on June 30, 2013 ? 3:40 am | by guest writer |

A small business?s payroll department is an important part of its business operations. Whether it?s run by one person or a large staff, an organized flow of finances keeps the business going strong. There?s no room for disorganization when it comes to payroll because even the smallest of mistakes can end up costing the company dearly.

There are several considerations that can help a small business keep their payroll information organized. Maintaining organization can help streamline the payroll process, resulting in happy employees and payroll staff.

Organized payroll means employees get paid without delay.

Payroll Organization Tips for Small Businesses

  • Organize Personnel Files.Organization of important employee files might sound like something that would automatically happen, but small businesses don?t always have access to extra staff members or additional work time to keep personnel files organized and up to date. One thing that can help is to organize as files are added to, rather than wait for work to pile up.
  • Keep Employee Records Secure.Part of the organization process includes keeping employee payroll records secure. All files, whether stored as hard copies in the office or stored online, should not be easily accessed by anyone outside of the payroll department besides the business owner.
  • Simplify Policies.Policies, while well-intentioned, can complicate and confuse things. A business owner should ensure that policies regarding paid vacation, days off, expenses, and commission are concise and simple to promote streamlining during the processing of payroll.
  • Go Paperless.Good records are vital to an organized payroll system, but a paper trail isn?t. With all the advancements in technology, there?s really no reason for a business to keep hard copies of everything. Going paperless with employee payroll can improve organization by reducing physical paperwork.
  • Create a Payroll Calendar.A calendar that displays important tax dates, quarterly and year-end activities, as well as the creation and distribution of reports will help the payroll department keep other payroll activities on track with the year-round calendar.
  • Enlist the Help of a Payroll Service.Small business owners who find themselves overwhelmed with office operations can keep things organized and reduce stress by enlisting the assistance of a payroll service. In addition to having a software program that makes payroll easier, the business will also have access to tech support and customer service.
  • Include Mobile Access.A good payroll service will make it possible for the business owner and payroll department to take care of business from a remote location via remote access.

An organized payroll calendar ensures important tasks are completed on time.

Use a Payroll System that Functions with Other Bookkeeping

As business owners set out to streamline their payroll process, it?s wise to incorporate practices and tools that will improve overall bookkeeping. Payroll is one cog in the wheel, and it makes good business sense to ensure that any changes made to a business?s payroll practices will work with the rest of the business finances.

These tips can help small businesses that wish to organize this aspect of their business operations know where to start and what to consider as they begin.

Report: U.S. taps 500M German phone, Internet links in month

BERLIN (Reuters) - The United States taps half a billion phone calls, emails and text messages in Germany in a typical month and has classed its biggest European ally as a target similar to China, according to secret U.S. documents quoted by a German newsmagazine.

The revelations of alleged U.S. surveillance programs based on documents taken by fugitive former National Security Agency contractor Edward Snowden have raised a political furor in the United States and abroad over the balance between privacy rights and national security.

Exposing the latest details in a string of reputed spying programs, Der Spiegel quoted from an internal NSA document which it said its reporters had seen.

The document Spiegel cited showed that the United States categorized Germany as a "third-class" partner and that surveillance there was stronger than in any other EU country, similar in extent to China, Iraq or Saudi-Arabia.

"We can attack the signals of most foreign third-class partners, and we do it too," Der Spiegel quoted a passage in the NSA document as saying.

It said the document showed that the NSA monitored phone calls, text messages, emails and internet chat contributions and has saved the metadata - that is, the connections, not the content - at its headquarters.

On an average day, the NSA monitored about 20 million German phone connections and 10 million internet data sets, rising to 60 million phone connections on busy days, the report said.

While it had been known from disclosures by Snowden that the United States tapped data in Germany, the extent was previously unclear.

News of the U.S. cyber-espionage program Prism and the British equivalent Tempora have outraged Germans, who are highly sensitive to government monitoring having lived through the Stasi secret police in the former communist East Germany and with lingering memories of the Gestapo of Hitler's Nazi regime.

A Spiegel report on Saturday that the NSA had spied on European Union offices caused outrage among EU policymakers, with some even calling for a suspension to talks for a free trade agreement between Washington and the EU.

In France, Der Spiegel reported, the United States taps about 2 million connection data a day. Only Canada, Australia, Britain and New Zealand were explicitly exempted from spy attacks.

Snowden, a U.S. citizen, fled the United States to Hong Kong in May, a few weeks before the publication in the Guardian and the Washington Post of details he provided about secret U.S. government surveillance of internet and phone traffic.

He has been holed up in a Moscow airport transit area for a week after U.S. authorities revoked his passport. The leftist government of Ecuador is reviewing his request for asylum.

Facebook is pulling ads from racy, violent pages

MENLO PARK, Calif. (AP) ? Facebook is pulling ads from pages that contain violence or sexual content.

The social network said that on Monday, it will expand its definition of pages and groups that are too controversial to carry advertisements.

Facebook has sought to strike a balance between giving its 1.1 billion users the freedom to post what they want and providing advertisers with space to sell their products.

In May, Facebook Inc. lost more than a dozen advertisers, at least temporarily, after the activist group Women, Action and the Media urged an advertising boycott to protest hate speech on the Facebook site. The controversial content included grisly photos and mottos that encouraged rape, abuse and other violence against women.

The company said then that it would review its guidelines, update training for employees and increase accountability for those who post such matter. It also said it would work more closely with women's groups. Some of the companies that initially pulled their ads ? including automaker Nissan and the car-sharing service Zipcar ? said then that they were pleased with Facebook's response.

Facebook had already banned ads on certain pages. The new policy will expand on the categories affected by the ban. In the past, a company selling adult-theme products could have ads running on the right side of the page, for instance. Those pages will be ad-free starting Monday.

"We recognize we need to do more to prevent situations where ads are displayed alongside controversial Pages and Groups," the company said in a statement Friday. "So we are taking action."

Facebook will continue to remove entire pages if they are deemed to violate its terms of service. The new policy covers pages that are permitted, but controversial.

Facebook said the new restrictions won't have a meaningful impact on its business.

Nigella Lawson returns to Twitter for son's birthday

30 JUNE 2013 Nigella Lawson has returned to Twitter for the first time since images emerged of an argument between herself and her husband, Charles Saatchi. To celebrate her son's 17th birthday the celebrity chef and writer posted a photogaph on the social networking site of the birthday cake she made for Bruno.

The chocolate cake, studded with candles in the shape of miniature bottles of champagne, read 'Happy Birthday Bruno' and has since been re-tweeted 163 times and 'favourited' by 657 of Nigella's fans.

Many of her followers replied to the tweet with positive messages about her return.

"Good to see you back," wrote one user. "Hope Bruno had a wonderful birthday."

Nigella's fellow celebrity chef, Gizzi Erskine, was also pleased to see the Nigellissima author back online.

"second this xxxxxxx" wrote Gizzi, responding to a Twitter user who said "Welcome home Lady."

The picture of Bruno's cake is in keeping with Nigella's usual tweets, which include images of her culinary masterpieces of a near daily basis.

Bruno is the younger of Nigella's two children. She also has a daughter, Cosima, both from her marriage to former journalist, John Diamond, who died from throat cancer in 2001.

Nigella's relationship with her second husband, Charles Saatchi, became the subject of attention two weeks ago when shocking photograph were published of art collector Charles gripping his wife's throat during an argument.

Charles, who is worth a reported ?100million, said the photos depicted a "playful tiff" and that Nigella was unharmed.

"About a week ago, we were sitting outside a restaurant having an intense debate about the children," claimed Charles. "And I held Nigella's neck repeatedly while attempting to emphasise my point," he told the Evening Standard.

"There was no grip, it was a playful tiff. The pictures are horrific but give a far more drastic and violent impression of what took place. Nigella's tears were because we both hate arguing, not because she had been hurt."

Charles has since been cautioned for his actions and late last week Nigella was seen moving her things out of the family home.

The TV chef had removal men take belongings from the ?12million house in Mayfair that she had shared with her millionaire husband and has also been spotted without her wedding ring on.

Prior to Nigella's tweet on Saturday, the only word from the TV chef was in a statement last week from her publicist which confirmed she had "left the family home with her children".

"Her heart is bleeding right now," a source close to Nigella told The Sunday People. "She wants out.

"Neither she nor Charles are interested in counselling or trying to save the marriage. It seems they?re done and she is broken and desolate."
